Late Bookings, OTA Growth and 2027 Planning With Sally Henry of KeyData
Episode 138
Show notes
Owners pushing you to cut rates because next week is still open? Late bookings have lower average rates mainly because smaller, cheaper homes are the ones booking late. It doesn’t always mean rates were lowered.
Sally Henry, VP of Market Intelligence and Insights at KeyData, shared that finding with Thibault Masson, founder of RSU by PriceLabs, during a free RSU by PriceLabs webinar on October 28, 2026. The two also broke down which of the two biggest industry conferences (VRMA and VRWS) are worth your time and why, and shared data Sally presented at the Vacation Rental World Summit in Lyon.

Airbnb's new house rules: the questions managers are asking, and what we found
Show notes
No more washing dishes before checkout? Guests might be celebrating. But for Airbnb hosts and property managers, the bigger question is: Who decides what's reasonable to ask of guests?
Starting November 20, Airbnb is changing how house rules work. Binding rules are limited to Airbnb's predefined categories, while everything else becomes a nonbinding request.
So, Thibault Masson put Airbnb's new automated rules checker to the test, running around 20 scenarios involving checkout chores, cleaning fines, guest IDs, rental agreements, and safety instructions.
Here's what we explore:• The new rulebook: What hosts can enforce versus what they can only request
• The surprising results: Why starting a dishwasher was flagged, but offering paid breakfast wasn't, and why a bear-proof trash bin failed the test
• The bigger implications: What happens when Airbnb's rules intersect with property managers' responsibilities for guest safety, liability, and legal compliance?Fewer checkout chores might be good news for everyone. But when even safety-related requests can get flagged, where does Airbnb draw the line?

Will Vrbo’s new rate parity clause kill your direct booking strategy?
Show notes
Are you risking your Vrbo listing by offering discounts on your own website?
Property managers and hosts could face listing removal or penalties on Vrbo if their direct booking rates are lower than what is published on the platform.
Vrbo is rolling out updated terms starting October 29 that move every host to a flat 12% commission model. Alongside this fee shift, Vrbo is introducing a strict rate parity clause that requires your listing conditions on Vrbo to be at least as favorable as anywhere else online, including your direct site. However, it is taking a step back in letting you price your direct the way you want to.
In this episode:
The Problem: Why pricing lower on your direct site puts your Vrbo listing at risk of removal. The News: Breaking down Vrbo’s October 29 update, flat 12% commission, and strict rate parity enforcement.
Key Takeaways: Learn how price parity works and why the other European giant, http://Booking.com isn't enforcing this ( hint: it's regulatory!) and what to check in sister brands: Abritel, FeWo-direkt, Stayz or Bookabach.

How Guests Find Your Airbnb Now: New AI Search and Friends’ Maps
Show notes
The Airbnb 2026 fall update changes how guests find your listing in two main ways. First, guests can now speak or type what they want in their own words, like "a house in Nashville for tonight", and AI turns that sentence into a location, dates, and filters to match them with your property. Second, guests can now tap into a verified network of real travelers to see where their friends stayed and book those exact places.
In this video:
• How Natural Language Search Works: See how a simple sentence converts into filters, and how typing "baby" automatically pulls up cribs and toys while AI writes short listing descriptions straight from details hosts provide.
• Inside the Travel Map: How word-of-mouth discovery now happens inside Airbnb, letting guests view past trips, read friends' reviews, and save properties to a wishlist.
• Two Fixes for This Week: Thibault Masson walks through the two adjustments to make right away: updating your amenities and descriptions so search can find you, and treating every review as a potential referral.Read our full analysis: https://www.rentalscaleup.com/airbnb-2026-fall-update-hosts/

How AI Helps Rental Managers Find, Pitch and Keep More Owners
Season 1, Episode 133
Show notes
Owner acquisition used to be a one-to-many business: one message, one landing page, one pitch, sent to everybody on your list. Brooke Pfautz argues that constraint is gone, and that the managers who adjust fastest will sign owners the slow way never could.
Brooke built Vantage Resort Realty in Ocean City, Maryland from nothing to 500 properties in five years, sold it in 2013, and now runs Vintory, which has worked with around a thousand management companies on inventory growth and nothing else. He joins Thibault Masson of Rental Scale-Up to go through what has actually changed in finding, pitching and keeping owners, with the parts AI does well separated from the parts it doesn't.
Covered in this episode:
• Where owner data comes from, and why AI matters most for matching masked listings to real addresses
• Whether you can scrape and enrich this yourself, and when your time is better spent elsewhere
• Running a regression on your existing owners to find out what your best ones have in common, including the manager who discovered his owners clustered in one small Ohio town and ran a seminar there
• Persona-based outreach, where the email, the postcard and the landing page all speak to the same specific pain point
• Five assets built with AI in front of you: competitive analysis, cold email sequences, landing page, rental projection and owner presentation
• A competitive analysis that once cost 5,000 dollars and a month of work, now done in 90 seconds
• The four-part recipe behind it: context, rules, skills and connectors, and how to write rules that are specific enough to be followed
• Why most leads go cold before anyone touches them, and what secret shopping a hundred companies revealed
• Markets where owners sit behind LLCs and trusts, and why realtors become the channel instead

Europe's New Rule: The Cure Can't Be Bigger Than the Disease
Season 1, Episode 132
Show notes
Two European decisions landed roughly 48 hours apart, and on the surface they have nothing to do with each other. Google removed the vacation rentals section from Search across the European Economic Area — the EU plus Norway, Iceland and Liechtenstein — as its own chosen remedy to a Digital Markets Act decision. Then the European Commission proposed the Affordable Housing Act, which would require any city or government restricting short-term rentals for housing reasons to demonstrate the problem first, with at least three years of evidence, and to show that a less drastic option wouldn't work.📩 The weekly breakdown for operators working across multiple European markets: https://rentalscaleup.com/newsletter📖 The full written analysis, including the Paris and Amsterdam case law: https://www.rentalscaleup.com/eu-affordable-housing-act-what-the-leaked-draft-means-for-short-term-rental-managers/ Thibault's argument in this episode is that both decisions come down to the same principle. Under the Digital Markets Act, Brussels is telling a gatekeeper it can compete but cannot favour itself at the front door. Under the housing proposal, it is telling thousands of cities they can restrict but must prove the restriction is proportionate to the problem. Different targets, same discipline. What this episode covers: 🔎What Google actually did, and what it didn't: The vacation rentals block is gone for European Economic Area users, but Google Vacation Rentals has not disappeared globally, and Brussels did not order that specific removal. Google says the changes degrade the experience for Europeans and favour online intermediaries over local businesses💸 Why fair competition and good outcomes aren't the same thing: HomeToGo welcomed the change as a silver lining for fair competition. A property manager who was using that block to reach travelers commission-free lost a channel. Both positions hold🧠 Proportionality, in plain language: The Commission does not blame short-term rentals for Europe's housing shortage — it points to a shortage of homes. It does accept that conversions can worsen pressure in some markets, which is why the test is evidence first, softest workable option second📈 Paris 2020 and Amsterdam 2023: Europe's highest court upheld France's restrictive permit system. The Dutch Council of State struck down Amsterdam's total ban in three central neighbourhoods because the city never tested a cap or properly assessed its existing 30-night limit. A legitimate reason does not carry every restriction📋 Why predictability beats deregulation: Paris at 90 nights, Amsterdam generally at 30, Barcelona intending not to renew more than 10,000 tourist apartment licences from 2028. A restrictive rule you can underwrite against is more useful than a lenient one that moves overnight🛑The U.S. contrast: Same Google, different rules — the vacation rentals section is still live in Search there. And no equivalent of Washington asking a city to show its housing evidence before restricting. Those fights stay in state capitals and city halls

Airbnb is Investing $250 Million in Building Homes and Ranking Cities
Season 1, Episode 133
Show notes
For a decade, cities have blamed short-term rentals for taking homes off the market. Airbnb has played defence the whole time. On 14 September, it changed tack and put $250 million into building housing instead.
The timing is worth noting. Five days earlier, the European Commission proposed the Affordable Housing Act, which would let cities under housing stress restrict commercial short-term rentals. Airbnb said the Act would not add a single home. Then it announced it would add some itself.
In this episode, Uvika Wahi breaks down what Airbnb is actually funding, what the money realistically builds, and why the smallest piece of the announcement is the one that reaches your licence.
In this episode
💸 What the $250 million buys. Last-dollar financing for stalled projects. The first deal is $6.4 million toward 201 affordable homes in Austin, roughly a tenth of the cost per home
🏗️ The Spain commitment. $50 million over three years restoring homes in small villages, with more countries to follow
🗳️ Where the advocacy money goes. Five US states, aimed at zoning and permitting, not short-term rental rules
📊 The Airbnb City Index. An annual worldwide ranking of city housing policy, due later this year
🔎 Why the Index matters most to you. A yearly score on your council's housing record, published by the platform your listings sit on. No methodology, no auditor, no city list released yet
⚖️ The line being drawn in Brussels. Airbnb's position protects the everyday host. Whether professional operators count as one is still open

Airbnb Cuts Host Fees to 6% But How Direct Is the Booking?
Show notes
Airbnb is offering select hosts a new “Direct Booking Link” with a much lower 6% or 10% host fee. The question is: if Airbnb still processes the booking and controls the guest relationship, how “direct” is it? 🤔
In this episode, Uvika Wahi breaks down what Airbnb is testing and why the distinction matters for short-term rental operators.
We cover:• How Airbnb’s 6% and 10% fees work
• 🔗 Direct booking vs. referral: who owns the guest relationship?
• How the discount slider works
• Why Airbnb may accept a lower fee when hosts bring the traffic
• 🤖 How AI travel search could be influencing this strategy
• What the pilot could mean for Airbnb’s distribution model🔔 Follow Rental Scale-Up by PriceLabs for more short-term rental industry analysis.

Why Wall Street is Betting Big on Airbnb’s 15.5% Host Fee Mode
Show notes
When Airbnb shifted operators to a single 15.5% host fee, many short-term rental managers assumed a simple price markup would keep their revenue neutral. However, financial analysts at Bernstein and Airbnb leadership view this structural shift as a primary catalyst for business acceleration and recent stock gains.
In this episode, we break down the three distinct mechanisms Wall Street is banking on:• Booking Volume & Pricing Resistance: How fee-free listings alter guest perception and why host reluctance to re-index rates lowers end prices.
• Expanding Take Rates: The cumulative impact of half-point fee increases across global markets and why raising host-side fees is structurally easier for Airbnb going forward.
• Checkout Monopolization: How a clean checkout screen allows Airbnb to cross-sell high-margin products like extended cancellation coverage, currency conversion, and travel insurance.Listen in to understand what this fee restructuring actually costs your property management business and how to prepare for future platform fee adjustments.

Why shoulder season needs a full team reset, not just a price cut
Show notes
Shoulder season isn't summer on a dimmer switch. It's a reset, and this episode treats it that way. Jay Whiteley, who runs revenue, marketing, and distribution for ViewStay by Casago's roughly 4,500 properties, joins RSU by PriceLabs editor Uvika Wahi and host Kyle Driskell, Manager, RM Partnerships, to break down what changes when peak season ends: who's actually traveling now, what the summer data should tell you before you touch pricing, and how to bring owners along once demand softens.
Jay treats the shift the way most people treat New Year's: a hard look back before setting the next move, and shares why available nights matter more to revenue than rate does. Uvika brings the traveler side, walking through why remote workers, crowd avoiders, and delayed summer bookers need a different approach than your peak-season guests.

The Airbnb Experience deal with Tripadvisor Viator explained in Screenshots
Show notes
I booked a trip to a small village in Alsace, and once I was in, I started paying attention to what Airbnb was actually selling me. The homepage had a car rental discount and a luggage storage deal waiting before I'd even packed. My trip page, the first thing I opened after booking, knew my address, my dates, and how many of us were coming, and started selling from there. But when I got to Airbnb's own Experiences tab for the area, there was almost nothing in it: a few generic category tiles and the same car rental card following me around. That's the gap Airbnb's new partnership with Tripadvisor, announced August 11, is built to fill.Key Takeaways🧳 What I noticed on my own trip: Airbnb's trip page is some of the best-placed selling real estate in travel, reaching me before any host or search engine could🧙🏼 Where it fell short: My destination's Experiences tab had barely anything to actually book🤝 Why the Tripadvisor deal makes sense: Airbnb has the prime spot but not enough supply, Tripadvisor brings a catalog of over 425,000 experiences through Viator and wants more places to sell them📚 Read the step-by-step recap and analysis on our blog: https://www.rentalscaleup.com/airbnb-experiences-our-cross-selling-screenshots-explain-the-tripadvisor-viator-deal/📩 Stay ahead of the market: Join over 10,000 professional operators who get the most important short-term rental news and algorithmic breakdowns delivered straight to their inbox every week. Airbnb's Best Quarter in Years. Hosts Paid For Part of It.
Show notes
Airbnb just reported 3.6 billion dollars in revenue, nights booked up 10%, and raised guidance for the rest of the year. On paper, one of its best quarters ever.
Look closer, and a good chunk of that growth traces back to changes property managers have spent the year worried about, from the new single fee to Reserve Now Pay Later's rising share of bookings. In this episode, we walk through what really drove Airbnb's Q2 2026, what it means for pricing and cancellations, and how it compares to what Booking.com and Vrbo just reported.
What's covered
• 📈 Revenue up 17%, nights up 10%, but marketing spend grew even faster, up 27%
• 💸 Reserve Now Pay Later passed 20% of bookings, with a cancellation rate Airbnb's own CFO called "very elevated"
• 🛑 Airbnb told investors its take rate would rise this year. It came in flat at 13.2%, and we cover where that money went instead📖 Read the full recap and analysis on our blog: https://www.rentalscaleup.com/airbnb-q2-2026-earnings/

How to Turn AI Search Visibility Into Actual Short-term Rental Bookings
Season 1, Episode 126
Show notes
How do you make sure that when ChatGPT recommends your short-term rental, the guest actually clicks "book"? 🤔
While everyone is racing to get surfaced by AI search tools, a mere citation on Claude or Perplexity does not move money. A human still has to click through, weigh your trust signals, and decide to pay. How do you make sure your AI visibility actually turns into paying guests? 💸
📖 Read the step-by-step recap and analysis on our blog: https://www.rentalscaleup.com/generative-engine-optimization-for-short-term-rentals/
In this episode, Uvika Wahi sits down with Neely Khan, founder of Artword Creative and creator of the Kahani framework. Neely shares her GEO (Generative Engine Optimization) plus storytelling system for hospitality brands, breaking down exactly how to get found by the machine and chosen by the human 🤖🤝🧑.
You will learn why the "messy middle" is where most bookings quietly die and a free exercise you can run this week to see exactly how AI is describing your brand.
Key Takeaways
•
🛑 The Visibility Trap: Being recommended by AI is not the same as being booked. The guest almost always leaves to verify you, and a thin digital footprint kills the sale.
•
🧠 The EEAT Playbook: Experience, Expertise, Authority, and Trust are not just outdated SEO concepts. They are the exact signals AI tools now weigh, and small operators can build all four without a massive marketing budget.
•
✨ Personality as Conversion: Generic "luxury, wellness, five-star" copy reads identically to machines and humans alike. Distinctive, story-led language gets registered as a genuine USP and wins the click.

I Plugged My Pricing Tool Directly Into Claude, Here's What Happened
Season 1, Episode 124
Show notes
Most revenue tools still make you log in, click through, and cross-reference before you get an answer. This episode tests what happens when you skip all of that — wiring a live pricing engine straight into an AI assistant and asking it questions in plain English instead.
I connected PriceLabs to Claude using its new MCP (Model Context Protocol) connector and put it through real tasks: diagnosing a cold listing, checking portfolio pacing, and making a live pricing change without ever opening the dashboard. Some of it worked exactly as promised. Some of it exposed exactly where a beta is still a beta.
• 🔌 The Setup: How the MCP connector links live pricing and portfolio data directly into a conversation with Claude
• 🧠 Read vs. Write Access: Why read-only is zero-risk, and why write access is where both the savings and the real risk live
• 📉 The Cold Listing Test: Asking Claude why a specific unit hasn't booked, and what came back instead of a manual report
• 🚧 Where It Breaks: No bulk actions yet, rate plans still read-only, and why that matters if your portfolio is large
• ⚖️ The Judgment Call: Why treating AI-suggested pricing changes like a new analyst's recommendation, not gospel, is still the right instinctThis one's for any operator weighing whether to bring a general AI assistant into their daily pricing workflow, and what to actually check before you flip write access on.

What Every Vacation Rental Host Can Learn From Vrbo's Latest Campaign
Season 1, Episode 123
Show notes
Vrbo's newest ads, Magician and No Chef, are the ones getting all the buzz right now. Big spend, big view counts, the full spotlight moment. 🎬So why bring up a much quieter content campaign running in the background at the same time?Because with major booking platforms, it's rarely the loudest release that teaches you the most. This time, the real playbook is buried in a low-key campaign called Eavesdrop, and it's far more useful to your business than either commercial. 🕵️♂️Here's what we get into:🎯 Two campaigns, two completely different goals: the commercials exist to grab attention mid-scroll, while Eavesdrop is built to rank and get discovered through search.🔍The tactics you can actually borrow: FAQ sections written for specific destinations, video hosted on your own website instead of only social platforms, and content centered on one genuine property rather than generic stock imagery.💸 Why this approach costs less: Expedia has said publicly that content like this is lowering marketing spend while lifting margins, without needing millions of views to justify itself.🗺️The signal that gave it away early: the destination behind Eavesdrop lines up with a market Expedia's own trend report called out as the country's fastest-growing, a full eight months before the campaign went live.📺 Want to watch instead? What Airbnb Truly Earns on Every Reservation You Fulfill
Season 1, Episode 122
Show notes
Airbnb just promised Wall Street it would extract more money from every single booking this year. Yet, your platform fees aren’t going up, and your payouts remain untouched. So, where is that massive revenue growth coming from? 🛑💳
While operators have been pressured to simplify pricing and fold cleaning fees into their nightly rates to show guests "one honest number," Airbnb has quietly replaced those empty lines with a suite of its own fintech products. The platform is now monetizing the guest's need for flexibility, security, and convenience—without sharing the profits.
In this episode, we unpack the 4 hidden checkout mechanics:
•
Travel Insurance: How Airbnb captures massive margins on trip protection.
•
Extended Cancellations: The "cancel for any reason" upgrade that acts as a paid flexibility buffer.
•
Buy Now, Pay Later: How zero-dollar down payments shift booking behaviors.
•
Currency Conversion Fees: The invisible 2% surcharge international guests pay to avoid exchange rate headaches.
Discover how these features shift financial risk, why the gap between guest payment and your payout is widening, and how you can implement these exact same add-ons to increase revenue on your direct booking website. 💸📈

Airbnb, Booking.com, and Vrbo Are All Moving Toward Pay-to-Play. Here's the Full Picture.
Season 1, Episode 120
Show notes
The rules of organic search visibility are undergoing a major shift. For years, professional operators have structured their businesses around strict performance metrics to secure Vrbo’s Premier Host badge and its promised visibility boost. 🛑📉
But what happens when platforms introduce paid shortcuts?
In this episode, we break down Expedia Group's new sponsored listings feature on Vrbo, shifting the platform toward the cost-per-click bidding models traditional hotels have used for years. This isn't an isolated event; it mirrors a broader industry pattern across Booking.com and Airbnb. 🏢💼
We also dive into the macro-dynamics forcing this change—specifically how generative AI tools like ChatGPT and Gemini are drastically shrinking online search real estate, condensing multiple pages of listings into just a few curated recommendations. 🤖📊
Key takeaways from this episode:
•
The structural mechanics behind Vrbo's new paid placement tests.
•
Why the financial risk of visibility is moving squarely onto your operational budget.
•
The changing definition of "operational excellence" when badges become a prerequisite to bid rather than an organic reward. ⚖️

The 2 Hidden Risks of Airbnb’s New Cancellation Add-On
Season 1, Episode 119
Show notes
Airbnb’s new "risk-free" cancellation policy might guarantee your payout, but it could be silently draining your operational budget. 🛑💸
In this episode of the RSU Podcast, Thibault Masson (Founder of RSU by PriceLabs) breaks down Airbnb's newly rolled out "Extended Cancellation Option"—a feature that allows guests to cancel up to 24 hours before check-in. While Airbnb absorbs the financial risk to protect your top-line revenue, the downstream scheduling and vendor chaos is left entirely on your shoulders.
We unpack the real business impact, including:
🧹 The Hidden Margin Bleed: If a guest cancels 24 hours before check-in, your payouts are safe—but your downstream operational costs are not. If your cleaning company or service providers require a 3-to-5-day notice for schedule changes, you are stuck footing the bill for unneeded turns.
📅 The Calendar Trap: Cancelled dates immediately reopen on your calendar just hours before check-in. We discuss why you must rely on aggressive dynamic pricing rules to automatically capture last-minute rebookings before those dates sit empty.
💰 The Financial Mechanics: How the policy actually works. Guests pay an upfront fee directly to Airbnb for flexibility, meaning Airbnb assumes the risk, not you.
🏨 The Booking.com Parallel: How this mirrors Booking.com’s “Smart Flex” program—except Airbnb is actively charging the guest for the privilege.
⚙️ Taking Back Control: This feature is automatically applied to listings with moderate, firm, or strict cancellation policies. Learn how to navigate your settings and opt out if the vendor friction is too high.
If you keep this feature enabled, your operations team and your dynamic pricing software must be in perfect alignment. Tune in to ensure you aren't bleeding margin on last-minute cancellations! 🧠📉
